People, roles and speakers
Who can do what in a workspace, the difference between a viewer and a speaker, and what happens when someone leaves.

Roles
Every person in a workspace has one role. The role decides what they may manage.
- OwnerOne per workspace, and always a speaker. The owner is the only one who can make someone an admin, remove an admin, pay for more speakers, change storage, set up single sign-on and delete the workspace.
- AdminOpens the workspace admin. Admins add and remove members, decide who is a speaker (the owner always is), and look after access, branding and settings. They can test single sign-on and turn it off.
- MemberEveryone else. Members don't see the workspace admin. They can add colleagues only if Access allows it; How people join explains when.
Viewers and speakers
Separately from their role, each person is a viewer or a speaker. Viewers can watch every meeting they are invited to. Speakers can also record and organise meetings, and the workspace pays for each speaker. Viewers are free and there is no limit on them.
The two are independent, so an admin can be a viewer and a member can be a speaker. People you add on the People tab start as viewers.
Making someone a speaker
An admin opens the person's menu on the People tab and chooses Make a speaker. A viewer can also ask with Ask to be a speaker. The admins and the owner get the request in the app and by email, and answer it with Make a speaker or Decline the request. Declining asks for an optional reason, and the person gets the answer in the app and by email, with the reason if you gave one.
If the workspace already has as many speakers as it pays for, the owner can pay for one more in the same step. The dialog shows the new number. When Stripe has a price for the plan, it also shows the new amount and when it is charged, as the plan page does. An admin who isn't the owner has to ask the owner first.
During a trial, speakers aren't counted, so everyone can record and nobody needs to ask. On Team and Business they start counting once the plan is paid. Billing, speakers and invoices explains how to pay for more.
A workspace can end up with more speakers than it pays for when the number is lowered in Stripe instead of on the plan page. Nobody loses the right to record. To make anyone else a speaker, the owner first raises the number of speakers you pay for on the plan page, to at least the number the workspace has.
Remove as speaker turns a speaker into a viewer. They keep everything they recorded and can still watch every meeting. During a trial everyone can record, so the change takes effect once a plan is bought. The bill only changes when the owner lowers the number of speakers you pay for. Whoever you make a speaker or a viewer is told in the app and by email. If you change your own, nobody is told.
After a trial has ended, or while the workspace is locked, nobody can be made a speaker, but admins can still make speakers viewers and remove people. Everyone added during a trial is a speaker, and the first bill counts every speaker, so do this before you buy.
When someone leaves
Choose Remove from workspace in their menu. They lose access and no longer count as a speaker. Their recordings stay. If they still had topics to record, you can hand each one to a colleague in the same dialog. Topics you leave empty are flagged so their organiser can find someone else. If they had asked to be a speaker, the request is closed. If they were a speaker, the bill stays the same until the owner lowers the number of speakers you pay for on the plan page.
Admins can remove members. Only the owner can remove an admin, and nobody can remove themselves this way. Add back brings a removed person back as a member and viewer. Only admins can bring a removed person back.
Handing over ownership
The owner can choose Transfer ownership on an admin's row and confirm by typing that person's email address. The new owner gets an email, and the old owner becomes an admin. Because the owner always records, a new owner who was a viewer becomes a speaker. If every speaker the workspace pays for is already taken, the old owner gives up their speaker place and becomes a viewer. Ownership can only go to an admin who has signed in to Capme at least once, and a person can own one workspace at a time. Handing over and making someone an admin both still work after a trial has ended or while the workspace is locked, so the person who buys can take the workspace over.
