Billing, speakers and invoices
Who can buy and change the plan, how speakers are charged, and where to find invoices and the payment method.

A company workspace does this under Billing in the workspace admin. A workspace of one uses Plan & billing in the account menu.
Admins can fill in the billing details. Buying a plan, changing the number of speakers and opening invoices are for the owner only.
Billing details and VAT
Capme is sold to businesses. Before you can buy, fill in Billing details: the registered company name, address, invoice email and a tax number, and confirm that you are ordering for a business.
Prices are net. Customers in Germany pay 19% VAT. Businesses in another EU country need a VAT ID, which Capme checks when you save, and are invoiced under the reverse charge. Outside the EU, no EU VAT is charged.
Buying a plan
While you are signed in, Buy a plan opens from the account menu, the Billing tab and the plan cards on the pricing page. Everything happens on one page.
First you pick the plan and Monthly or Yearly, two months free. On Team and Business you then set how many speakers you pay for. Next come the billing details, and last the payment.
Team starts at 3 speakers and Business at 10, and you can't pay for fewer speakers than the workspace already has. Before you pay, the page shows the sum: speakers times the price, net. The VAT follows from your billing address, and the payment page shows the exact amount before you pay.
If your company buys through purchasing, owners and admins find two things beside the order. Request an offer opens an email to sales@capme.app with the plan, the speakers, the billing interval and the net price already filled in. Order summary to print shows the order on one page with seller, buyer, net price, VAT and the ways to pay, to print or save as a PDF. It is not an invoice and orders nothing.
Coming from a trial, everyone who was added as a speaker still counts, and you can't pay for fewer speakers than the workspace has. When there are more of them than the plan's minimum, the page asks Who really records? and links to the People tab, where you can make anyone who only watches a viewer before you buy.
Only the owner can buy. Anyone else sees who the owner is and can email them from the page. Until paid plans open, every buying button leads to a page where you leave your address, and Capme emails you when they open. You can already fill in the billing details on the Billing tab.
If the workspace already pays, the last step says Change plan and no payment page opens. The plan changes on your existing subscription right away. Capme credits what is left of the current period and charges the difference to the payment method on file. The Billing tab shows your plan at the top with one button: Choose a plan before you pay, Upgrade after. It opens this page on the right choice, including yearly if you pay monthly.
Changing the number of speakers
You pay per speaker. Viewers are free. The owner changes the number of speakers under Manage plan (the Billing tab's button, or Change speakers on the People tab). Before anything changes, a confirmation shows the new amount and when it is charged, and an email confirms the change afterwards. A change applies right away. On a monthly plan, the difference is settled on your next invoice, and a speaker you stop paying for becomes a credit. On a yearly plan, an added speaker is charged at once, prorated to the end of the billing year, and a removed speaker is not credited. Nothing is refunded to your card.
You can't pay for fewer speakers than the workspace has. Make some of them viewers first. For more than 500 speakers, write to sales@capme.app.
Invoices, payment method and cancelling
Invoices and payment method opens the billing portal. There the owner downloads invoices and changes the payment method. Cancel subscription under Manage plan opens the cancellation directly. A plan is cancelled to the end of the current month or year, and an email confirms it. You can also cancel by writing to hello@capme.app.
After you cancel, the Billing tab shows the plan as Cancelled with the day it ends. Until then everything works as before. Continue plan takes the cancellation back. To change the plan or the number of speakers, continue the plan first.
On a yearly plan you can pay by invoice instead of card or SEPA: choose Invoice, by bank transfer when you buy. The plan starts at once, and the invoice with our bank details goes to the invoice email. It's due in 14 days. If it's still unpaid 44 days after the invoice date, the workspace is locked for new recordings and meetings until the money arrives. Nothing is deleted.
If a card or SEPA payment doesn't go through, or an invoice is overdue, the owner and the invoice email get an email, and the Billing tab shows it until it's paid. Everything keeps working while we try again. If the last try fails too, the workspace is locked until the open invoice is paid. Nothing is deleted while it's open, and paying it brings the plan back.
