Retention, keep and deletion

How long recordings stay on Capme hosting, how to keep one for longer, and what happens when you delete a recording, a meeting or the whole workspace.

Everything here applies to recordings on Capme video hosting. If your workspace records into its own bucket, Capme sets no retention window there and the setting is hidden. Connect your own bucket explains what happens in that case.

The retention window

Each recording gets a deletion date when it is made. That date is 365 days later. On Team it can't be changed. On Solo, Business and Enterprise, and during the Business trial, an admin can shorten it under Settings, in the Retention card, to anywhere from 1 to 365 days. No window is longer than 365 days. A video that has to stay longer is marked keep, or, on Business and Enterprise, stored in your own bucket, where no window of ours applies.

A new window only applies to recordings made after you save it. Shortening it never deletes anything already recorded. When a video is added to a meeting, its clock starts again from that day.

There is no email before a recording expires. Each video in the library shows how many days it has left, and a published meeting shows the date its first video goes.

Expired recordings are deleted by a nightly job, a limited number per night, usually the night after they expire. Our team gets a notice the day before and can hold a deletion back if something looks wrong. If an unusually large share of a workspace's videos would go in one night, Capme holds them and our team checks first.

Keeping a recording

A kept recording stays until someone deletes it. There are two ways to keep one:

  • One videoIn the library, choose Keep beyond the retention window. The person who recorded it and any admin can do this, and undo it with Stop keeping.
  • A whole meetingWhen you publish a meeting, or afterwards on its page, turn on Keep this meeting and its videos beyond the retention window. The organiser and any admin can do this. Videos added to the meeting later are kept too.

Deleting a recording

The person who recorded a video and any admin can delete it from the library, even if it is kept. It disappears from every meeting it was part of, and the dialog lists them first. The video is then removed from the video host for good.

Taking a video out of a meeting is different. It goes back to the library of the person who recorded it and is not deleted.

Deleting a meeting

Deleting a meeting stops its invitations and its share link. Its videos stay and keep their own deletion dates.

Deleting the workspace

Only the owner can delete a workspace, under Data, by typing its name. Nothing is removed for 14 days. During that time everything keeps working and the owner can stop it with Keep this workspace. A paid plan stops renewing when you ask for the deletion, and renews again if you keep the workspace. Once it's deleted, nothing is charged any more.

A Free or Solo workspace has no Data page. Its owner asks on the contact page with the owner's address, and we start the same deletion: nothing is removed for 14 days, and a Solo plan stops renewing.

After that, Capme deletes the workspace's videos on Capme hosting, its meetings, its members and its branding. People who belong to no other workspace lose their login. Files in your own bucket stay where they are.

A workspace whose paid plan was cancelled and has ended is deleted the same way 30 days after the end, unless a plan is bought before then. A workspace locked over an unpaid invoice is not deleted.
