Create and send a meeting

Write the agenda, invite the speakers, publish the meeting and remind people, and what you can still change along the way.

Creating it

Start a new meeting and fill in:

  • Name and descriptionBoth are required. Everyone who opens the meeting sees the description.
  • Recording deadline for speakersSet to 5 pm in three days unless you pick another day or No deadline.
  • AgendaOne row per topic, each with a speaker and a length. The first row is an intro for you. Team allows 25 topics per meeting, Business 50. Speakers have to be members of the workspace.
  • Invite meeting attendeesEveryone else who should watch. Speakers are on the list automatically. Attendees hear nothing until you publish the meeting.

When you save, Capme asks Send emails? and lists who would get one. Speakers who get an invitation can start recording.

Changing it before you publish

Until the meeting is published, you can change the name, the description, the deadline and the agenda. Speakers keep their invitation links. When you save, the same dialog asks whether to invite new speakers, tell speakers who still owe a video about a new deadline, and tell people whose topic is gone.

If you give a topic to someone else, the previous speaker gets an email that it was handed over. A topic that already has a video keeps its speaker. To change that, first choose Take video out of the meeting. If you remove a topic that has a video, the video leaves the meeting too. Either way it goes back to the library of the person who recorded it and isn't deleted.

Reminding speakers

Capme doesn't remind speakers on its own. Use Remind everyone on the meeting, or Send a reminder on a single topic. Only speakers who haven't recorded yet get one.

Publishing

Publish meeting sends everyone on the list an email with the link. You can publish while videos are still missing; the dialog tells you how many, and they show as placeholders.

In the same dialog you can turn on one reminder for people who haven't finished watching and choose how many days after publishing it goes out. You can also keep the meeting's videos beyond the retention window.

A published meeting can't be edited. People you add to the list afterwards get the link straight away.

Unpublish takes it back. Attendees lose access until you publish again, what they watched is kept, and you can edit the agenda again. Emails that already went out can't be recalled.

Deleting a meeting

Invitations stop working and the link goes dead. The videos aren't deleted with it; Retention, keep and deletion explains what happens to them.
